Above the Clouds Terms and Conditions For the Chautauqua
The following booking conditions form the basis of your contract with Above the Clouds Ecuador. (“we”, “us” and “our”). Please read them carefully as they set out our respective rights and obligations. By asking us to confirm your booking, we are entitled to assume that you have had the opportunity to read and have read these booking conditions and agree to them.
Prices:
All our prices are in net US dollars.
Reservations and Payment:
Payment in advance is required at the equivalent of a non-refundable $500 down payment per person through PayPal. Cheryl will bill you for the remaining balance in equal parts over the next two months. The deposit and any payments will be refunded if we cancel the event due to unsafe changes with COVID or not reaching our threshold number of attendees.
Meals:
All meals are provided beginning with Dinner on the first Saturday through lunch on the last Saturday. If you join our Quito tour on the last Saturday, you will be required to pay for your dinner. We will accommodate dietary restrictions as able.
What is Included:
All services offered by Above the Clouds Ecuador include all excursions, meals and entrance fees mentioned in the programmed tours. Prices also include specialized guides and private land transportation, except where indicated differently. (When arriving or leaving outside specified times.)
What is Not Included:
Please be aware that the tour pricing does not include Personal Expenses (buying souvenirs, independent shopping, etc.), tips, Alcoholic Beverages and excess baggage charges, or any additional expenses not specified in the program. It does not include airfare to and from Ecuador.
Cancellations:
If for whatever reason you need to cancel your reservation with us, our cancellation policy is as follows:
Your $500 pp deposit is non-refundable unless we cancel the event due to unsafe changes with COVID or not reaching our threshold number of attendees wherin you will receive your deposit and any other payments made.
If you cancel from January 1st to March 1st, you will receive a 50% refund.
If you cancel after after March 1st, there will be no refund.
You may however transfer your place to someone else (introduced by you) if you are prevented from travelling. All costs and charges incurred by us and/or incurred or imposed by any of our suppliers as a result must be paid before the transfer can be affected. Any overdue balance payment must also be received.
If we have a waiting list, we may also fill your spot with someone from the list and you would receive a refund minus a $75 admin fee. You would also be responsible for any fees incurred if you cancel 6 months after the initial payment was made.
Responsibilities:
The Itinerary is a guide to which we will attempt to adhere, but it may be necessary to alter this at short notice as a result of circumstances or events outside our control such as adverse weather or road conditions or any of those amounting to unforeseen circumstances. Your itinerary will, however, be the same in content as far as is reasonably possible, unless circumstances beyond our control make this impossible
We reserve the right to accept or refuse any person as a participant in a tour, who might compromise the comfort or safety of other participants.
All passengers are responsible for their own belongings throughout the tour. We will not be held responsible for lost, stolen or damaged personal items.
All passengers are responsible for bringing their own medicines and to inform our agency of any allergies or special needs they may have prior to the trip, to ensure we make the proper arrangements. Unless otherwise specified, you are responsible for your own health and travel insurance during your trip.
Above the Clouds Ecuador:
Our agency acts exclusively as an agent with legal limitations which, having exercised all possible precautions, is not responsible for injury, damage, loss, additional costs, delays or any other irregularities, which may be caused either by voluntary acts or omissions or by the negligence of companies or individuals who provide transportation, accommodation or any other service related to the program, due to unforeseen circumstances or any other factor outside its control.
